"Hospitality Finance Tools", "we", "us" means Hospitality Finance Tools, the assumed name of a Texas sole proprietorship. We sell finance digital products for clubs, resorts and hotels. This policy explains what personal information we collect, how we use and share it, and your choices.
1. Who handles your payment: Lemon Squeezy
Purchases are processed by Lemon Squeezy, which acts as the merchant of record and payment processor for our products. Lemon Squeezy collects your payment details (for example, card or PayPal information), calculates and collects sales tax/VAT, and issues receipts and invoices. We never receive or store your full card number. Lemon Squeezy's own privacy policy governs the information it collects and processes as merchant of record. See https://www.lemonsqueezy.com/privacy.
2. Information we collect
| Category | Examples | Source |

Please don't send us confidential member data. If you send a workbook for support, replace member names and other personal data with sample values first. The workbooks you use run on your own computers; we don't receive the numbers you enter unless you send them to us.
3. How we use it
- Deliver your purchase: provide downloads and license records (your order number is your license ID).
- Provide support: answer questions, fix problems, process refunds.
- Updates and renewals (service emails): send included-year update and new-edition notices, verify eligibility for the license-holder renewal (we match your order number, email and organization to our order records), send renewal invitations and reminders about 30 days before your included year or renewal ends, and send notices about failed payments or cancellations. These relate to your purchase and are not marketing.
- Marketing email (only if you opt in): newsletter and product announcements. Every marketing email has an unsubscribe link.
- Run and improve the Site and products, prevent fraud and misuse (including license misuse), keep business, tax and accounting records, and meet legal obligations.
4. Legal bases (EEA/UK visitors and buyers)
Where GDPR or UK GDPR applies, we rely on: contract (to deliver products, updates and support you bought); legitimate interests (service emails, renewal invitations to existing customers, fraud and license-misuse prevention, improving the products; balanced against your rights); consent (marketing email and any non-essential cookies, which you can withdraw at any time); and legal obligation (tax and accounting records).
5. How we share it
We do not sell your personal information and do not share it for cross-context behavioral advertising. We share it only with: - Lemon Squeezy (merchant of record, checkout, payments, tax, receipts, customer portal, order records) - Service providers that help us run the business, under their own terms: email hosting, our email list provider and our website host - Professional advisors (e.g., accountant, attorney) as needed - Authorities, where required by law, or to protect our rights, customers or others - A successor if the business is transferred (for example, to a future LLC that takes it over), under this policy's protections
6. Cookies and analytics
- Strictly necessary cookies: Lemon Squeezy checkout and session cookies, used only to complete your purchase.
- Analytics: none at launch. If we add analytics, we will update this policy first.
- Advertising or tracking pixels: none.
- Your choices: we do not use non-essential cookies; browser settings let you block or delete cookies.
7. How long we keep it
| Data | Retention |
|---|---|
| Order and license records | for as long as the license is in effect, and at least 7 years for tax and accounting records |
| Support emails | 3 years after the last contact, unless needed for an open issue or legal claim |
| Marketing list | until you unsubscribe, then a suppression record so we don't email you again |
| Site analytics | server logs: as set by our website host, typically no more than 12 months |
8. Your rights
You can contact us at [email protected] to make any of these requests. We'll respond within the time the law allows (for example, 45 days under California law, one month under GDPR), and we may need to verify your identity, usually by matching your email and order number.
- Everyone: ask what we hold about you, ask us to correct or delete it (we may keep records the law requires, such as tax records), and unsubscribe from marketing at any time.
- California residents (CCPA/CPRA), where it applies: the rights to know/access, delete, correct, and opt out of the sale or sharing of personal information (we don't sell or share it), to limit use of sensitive personal information (we don't collect it for that purpose), and not to be discriminated against for using these rights. You can use an authorized agent.
- Residents of other US states with privacy laws (including Texas), where they apply: similar rights to access, correct, delete, get a copy, and opt out of targeted advertising, sale or profiling (we don't do these), plus the right to appeal our decision by replying to it with "Appeal".
- EEA/UK residents (GDPR/UK GDPR): access, rectification, erasure, restriction, objection (including to processing based on legitimate interests and to direct marketing at any time), data portability, withdrawal of consent, and the right to complain to your local data protection authority.
9. International transfers
We are based in the United States, and our service providers may process data in the US and other countries. Where GDPR or UK GDPR applies, transfers rely on appropriate safeguards offered by our providers (for example, Standard Contractual Clauses).
10. Security
We use reasonable safeguards: two-factor authentication on business accounts, access limited to the owner (and any assistant acting on the owner's behalf), and no storage of card data. No method of transmission or storage is completely secure.
11. Children
Our products are for businesses and their staff. The Site isn't directed to children under 16, and we don't knowingly collect their personal information.
12. Changes
We'll post any update here with a new effective date. If a change is material, we'll also tell customers by email.
